Job Type: Full-time

Schedule: 9:00AM – 5:30PM M-F

Overtime: Overtime opportunities are available and may be required based on monthly workload and transaction volume. We appreciate flexibility during peak times to ensure we continue delivering exceptional service to our clients.

Key Responsibilities

  • Review executed closing documents for completeness and compliance with recording standards.

  • Collaborate with internal teams to resolve any post-closing issues or discrepancies.

  • Communicate effectively with clients, lenders, and other stakeholders to provide updates and address inquiries.

  • Ensure accurate disbursement of funds, including processing wires and checks in accordance with closing instructions.

  • Coordinate the timely submission of documents for recording with appropriate jurisdictions.

  • Maintain organized records of all post-closing activities and communications.

Required Skills:

  • High school diploma or equivalent required

  • Excellent communication skills — written, verbal, and interpersonal — with a strong emphasis on professionalism and proper grammar.

  • Proficiency with Microsoft Office, email platforms, and basic computer functions.

  • Execute tasks efficiently while effectively managing workload and meeting deadlines.

  • Perform various administrative duties, including retrieving voicemails and returning calls, as assigned.

  • Conduct thorough reviews of title documents to identify potential issues and ensure compliance with regulatory guidelines and accuracy standards.

  • Provide outstanding customer service to clients by clearly explaining the closing process and resolving questions or concerns.

  • Communicate and coordinate with real estate agents, lenders, attorneys, and clients to collect and relay necessary information.

  • Accurately enter, update, and maintain information in company databases and record systems.

  • Review title documents for completeness and compliance with legal and company standards.

  • Support general administrative duties, including returning voicemails, organizing files, and assisting team members as needed.

Required Skills:

  • High school diploma or equivalent. A Notary Public certification is a plus (or willingness to obtain one).

  • Strong communication skills—written, verbal, and interpersonal—with a focus on professionalism and proper grammar.
